For SAP customers, there is no way to avoid migrating to the new S/4 Hana. The development and further support of the previous system is likely to be stopped in 2027. The question therefore arises: what should I do with my legacy SAP systems which are no longer used productively? It is demanded, that the data from the legacy systems has to be kept for years. Besides, they have to fulfill different requiremens, such as: providing access for the financial authorities, availability for customs audits or income tax audits. There are also requirements typical for different industries, such as tracking the deliveries, suppliers information, etc. These requirements are generally international and are not limited within one country. Those are the challenges facing companies during conversion to SAP Hana.

System analysis

The first step is the system analysis. The purpose of the system analysis is to enable us to estimate a time frame for archiving your legacy system and calculate costs, on the basis of which you can make your decision and start planning. The result of the system analysis is always a fixed price offer, which you can accept or reject. In general, the analysis takes only 90 minutes. The system analysis is divided into two parts:

The archiving project

After the system analysis has been successfully done, you ask yourself whether you want to start the project with us. Once you have decided for the project, there will be a kick off meeting in which your team will get to know our experienced project manager. After the kick off meeting, the project starts. Due to our extensive experience, we can also support you if you are stuck in a few places. The following essential milestones are a part of the project realisation. Each milestone ensures its own quality assurance.

Depending on the complexity, the project lasts 2-6 months. We will also be happy to support you in coordinating with your accountants/auditors/etc.


User acceptance test - project handover

The last step is acceptance from your side. As you do this, you will test samples, check the certificate of completeness and documentation. Furthermore, we would be happy to provide you with all of our samples. And so you have an extensive set of test data. If everything is correct so far, you will receive an acceptance report from us and you can shut down your system, since all the necessary information can then be reviewed within the ViewBox and properly archived. From that moment on, the risks of the legacy system are gone and you start saving money (maintenance/electricity/personnel costs…). Even after acceptance, we are certainly still there for you through our support services. Our support is provided, for example, when audit is announced, or if further training is required, or due to a change of employees.

As of May 25th, 2018 the data protection act (GDPR) of the European Union (EU) is also valid in Germany. The essential updates include the ‘right to be forgotten’ which implies the claim of cancellation of an affected person’s files directly at the storing place. With the ViewBox such data can be made anonymous according to EU-GDPR. Companies will additionally get an expanded accountability for the handling of data. And in case of risk-afflicted data processing a ‘data protection-impact assessment’ must be carried out according to certain criteria.
